Rules and conditions Private Event Booking Agreement for The Broken Controller VR
1. Payment Terms A non-refundable deposit of 50% is required to secure the booking and is due upon signing this Agreement. The remaining balance is due on the event date. All payments are non-refundable except as outlined in the Cancellation section. Late payments may result in cancellation without refund.
2. Arrival and Setup You may arrive up to 15 minutes before the scheduled event start time to set up decorations or personal items. Employees are not responsible for helping with setup, decoration placement, or any related tasks.
3. Cleanup and Departure The event must end at the scheduled end time. You have 15 minutes after the event ends time to clean up and vacate the premises. All trash must be removed, or placed in designated areas, decorations taken down, and the space left in the condition it was provided. Failure to depart within this 15-minute window may result in an additional overtime fee of $150.
4. Rules and Responsibilities You and your guests must follow all Venue rules, including no damaging games or equipment, and having appropriate behavior. The Venue reserves the right to end the event early if rules are violated, with no refund. You are responsible for any damage caused by you or your guests beyond normal wear and tear; repair/replacement costs will be charged. No smoking, vaping, outside alcohol, or illegal activities are permitted. The Venue is not liable for lost, stolen, or damaged personal items. All food must be kept in the designated eating area.
5. Cancellation Policy Cancellations more than 14 days before the event: Deposit is non-refundable but may be transferable to a new date (subject to availability). Cancellations within 14 days of the event: Deposit is non-refundable but may be transferable to a new date (subject to availability). An additional charge of $100 will be added for late change. Venue cancellation due to unforeseen circumstances (e.g., force majeure like power outage, emergency): Full refund or rescheduling offered.(subject to availability).
6. Liability and Indemnity You agree to indemnify and hold the Venue, its owners, employees, and agents harmless from any claims, damages, or liabilities arising from your event, including injury to guests (except for gross negligence by the Venue).
